    Choose only the fields needed to connect the agreed records. Keep stable reference labels so related lines can still be reconciled.

    Remove unrelated personal, payment, credential and commercially sensitive information. Check free-text notes as well as named columns.

    Inspect the actual exported file for hidden sheets, comments, attachments and extra columns. Verify that redaction did not break necessary references.

    Agree the transfer method, access, retention and deletion expectations before sending anything. Do not use the general inquiry form to submit records.
