One clearly defined total
Implementation is $6,000 total for two defined workflows, including the credited $1,500 base pilot. After that credit, the remaining base implementation fee is $4,500. Diagnostic sessions and optional coaching/setup services are separate and do not increase the credit. Final scope is agreed before work; prices are before any applicable tax.
Build from the actual process
Identify the source records, decision points, responsible staff and existing tools for each workflow. Check compatibility before promising a configuration or connection. The aim is a workable control in the shop's process, not a requirement to replace its software.
Test the awkward cases
Agree acceptance checks for complete records, missing evidence, duplicate references, ambiguous matches and the staff approval step. Use clearly labeled test records where appropriate. A flagged item remains a question until an authorized person resolves it.
Make the handoff usable
The agreed work includes configuration, testing, documentation and staff training. Name who maintains the workflow and who handles unresolved items. Instructions should make the normal path and the stop conditions clear enough for the team to use them without guessing.
Keep the boundaries clear
This does not include autonomous financial posting, unlimited custom development or a guarantee of recovered money. Custom software builds require a separately agreed scope and quote. New workflows or material changes need a separate scope decision. Optional ongoing support is available only when recurring work justifies a separately agreed service.
