Start with a documented reason for the expectation: an approved return, accepted core, supplier adjustment or another supported event.

Link the original invoice line, return evidence, supplier correspondence and expected amount. Leave missing evidence visible.

Match posted credit documents using references, quantities, dates and amounts together. Do not rely on an equal dollar amount alone.

Separate full matches, partial credits, duplicates, disputed items and unmatched entries. Record separately stated fees or adjustments without silently changing the expected amount.

Have the authorized reviewer confirm the disposition and any accounting action. Record the decision, date and supporting document.
Keep the boundary clear.
